1. Introduction
Welcome to Billow ("we," "us," "our"). Billow is a professional invoicing and business management platform built for African businesses and freelancers. We are committed to protecting your personal information and being transparent about how we collect, use, and share your data.
This Privacy Policy applies to all users of the Billow platform, accessible via our website and mobile web application. By creating an account, signing in, or using any part of our service, you agree to the practices described in this Privacy Policy.
If you do not agree with this Privacy Policy, please do not use our platform.
2. Who We Are

3. Information We Collect
We collect information in three ways: information you provide directly to us, information collected automatically when you use our service, and information received from third-party services when you choose to sign in through them.
3.1 Information You Provide Directly
Account Registration Information. When you create a Billow account, we collect your full name, email address, and a password (which is encrypted and never stored in plain text).
Business Profile Information. When you complete your business setup, we collect your business name, business address, city, region, country, Ghana Tax Identification Number (TIN) or equivalent tax registration number for your country, business phone number, business email address, your logo image, and your digital signature image if you choose to upload one.
Payment and Banking Details. To display payment instructions on your invoices, we collect your Mobile Money network name, Mobile Money number, Mobile Money account name, bank name, bank account number, bank account name, branch name, and sort or SWIFT code. This information is stored solely to appear on invoices you create and is never used to process payments on your behalf or accessed by Billow for any financial transaction.
Invoice and Client Data. We collect all information you enter when creating invoices, including client names, client email addresses, client phone numbers, client physical addresses, client Tax Identification Numbers, invoice line items, descriptions, quantities, prices, discounts, tax amounts, notes, payment terms, and terms and conditions. We also store the invoices you create, their statuses, and the history of changes made to them.
Expense Data. If you use our expense tracking feature, we collect the expense titles, categories, amounts, dates, notes, receipt images you upload, and any invoices you link the expenses to.
Communication. If you contact us for support, we collect the content of those messages and your contact details.
3.2 Information Collected Automatically
Usage Data. When you use Billow, we automatically collect information about how you interact with the platform, including which pages you visit, which features you use, how long you spend on each section, and actions you take such as creating, editing, or deleting invoices.
Device and Browser Information. We collect your device type, operating system, browser type and version, screen resolution, and the general geographic region associated with your IP address.
Log Data. Our servers automatically record information including your IP address, access times, pages viewed, and error reports when something goes wrong.
Cookies and Local Storage. We use cookies and browser local storage to keep you signed in between sessions, remember your preferences such as your default invoice color theme and sidebar state, and improve your experience. We do not use cookies for advertising purposes.
3.3 Information Received from Google When You Sign In with Google
When you choose to create an account or sign in using your Google account, Google shares certain information with us as part of the authentication process. We receive your Google account email address, your full name as it appears on your Google account, and your Google profile picture if one exists.
We do not receive your Google password. We do not gain access to your Google Drive, Gmail, Google Contacts, or any other Google service beyond the basic identification information listed above.
The information received from Google is used solely to create and identify your Billow account. You may alternatively sign up and sign in using your email address and a password you create directly on Billow, in which case no information is received from Google.
4. How We Use Your Information
We use the information we collect for the following purposes:
To provide the Billow service. This includes creating and maintaining your account, generating and storing your invoices, tracking your expenses, calculating your financial summaries, and displaying your data on your dashboard.
To generate your invoices. Your business profile information, client information, payment details, and invoice content are used to render the invoices you create, which you can then share with your clients.
To power the Business Health Score and AI Insights feature. Aggregated financial data from your account (such as total revenue, number of invoices, expense totals, and overdue amounts) is sent to an AI service to generate personalised business insights shown on your dashboard. This data is sent without your name or personal identifying details where possible.
To send you transactional emails. We send email confirmations when you create an account, password reset emails when requested, and notifications about your invoices such as reminders and status updates. We do not send marketing emails without your explicit consent.
To improve the platform. We use anonymised and aggregated usage data to understand how people use Billow, identify bugs, improve features, and make decisions about what to build next.
To protect the security of your account. We monitor for suspicious activity, unauthorised access attempts, and other security threats.
To comply with legal obligations. We may use or disclose your information where required to do so by law, court order, or legitimate governmental authority.
5. How We Share Your Information
We do not sell your personal information to anyone. We do not share your personal information with advertisers. We share your information only in the following limited circumstances:
Service Providers. We use carefully selected third-party companies to help us operate Billow. These include Supabase for our database and file storage infrastructure, Anthropic for powering AI-generated business insights, and Resend for sending transactional emails. These companies are given access to only the data necessary to perform their specific function and are contractually prohibited from using your data for any other purpose.
Google Authentication. If you sign in with Google, Google receives confirmation that you have authenticated with our service. We do not share your invoice data, client data, or financial data with Google.
Public Invoice Links. When you share an invoice using Billow's shareable link feature, the invoice becomes accessible to anyone who has that link. The information visible on that public invoice page is whatever you have chosen to include on the invoice: your business name, logo, contact information, payment details, client name, and invoice line items. It does not include private financial data, account settings, or any other information beyond what you explicitly put on the invoice itself.
Legal Requirements. We may disclose your information if we are required to do so by a valid legal process, including a court order, subpoena, or government request, or where we believe disclosure is necessary to prevent fraud, protect the safety of our users, or protect our legal rights.
Business Transfer. If Billow is acquired by or merged with another company, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.
6. Data Storage and Security
Your data is stored on Supabase servers, which use industry-standard encryption both in transit (using TLS/HTTPS) and at rest. Access to your data is protected by Row Level Security policies, meaning your business data, client records, and invoices are only accessible by you when authenticated with your account credentials.
Your password is hashed using a strong cryptographic algorithm and is never stored in plain text. We never have access to your raw password.
Despite our best efforts, no method of transmission over the internet and no method of electronic storage is completely secure. We cannot guarantee absolute security of your data.
7. Data Retention
We retain your account information and business data for as long as your account remains active. If you delete your account, we will delete your personal information and business data within 30 days, except where we are required to retain it for legal or regulatory purposes.
Invoices you move to the Bin are permanently deleted after 30 days unless you restore them before that time. This is done automatically by our system.
8. Your Rights
Depending on where you are located, you may have the following rights regarding your personal information:
Right to Access. You may request a copy of the personal information we hold about you.
Right to Correction. You may update or correct your account information at any time through the Settings page in your Billow account.
Right to Deletion. You may request that we delete your account and all associated data by contacting us at support@billowafrica.com. We will action this request within 30 days.
Right to Data Portability. You may export your invoice and expense data at any time using the CSV export feature available in your account. This gives you a complete copy of your financial records in a format you can use independently of Billow.
Right to Withdraw Consent. Where we rely on your consent to process your information (such as for AI-powered insights), you may withdraw that consent at any time by turning off the relevant feature in your account settings.

9. Children's Privacy
Billow is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If you believe a child has created an account on our platform, please contact us immediately at support@billowafrica.com and we will delete the account and associated data.
10. Third-Party Links
Billow may contain links to external websites or services, such as WhatsApp for invoice sharing. We are not responsible for the privacy practices of those external services. We encourage you to read the privacy policies of any third-party service you access through Billow.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make significant changes, we will notify you by email and display a notice in your Billow account. The "Last Updated" date at the top of this document will always show when the most recent version was published.
Your continued use of Billow after a change to this Privacy Policy constitutes your acceptance of the updated policy.
